ClearCorrect® Sync App - Overview and How to Use

Introduction

Overview
Take your ClearCorrect practice with you, all in the palm of your hand, for ultimate convenience and flexibility. The ClearCorrect Sync App, available for Android™ and iOS® mobile devices, streamlines your workflow for more efficient practice management.

Downloading the App and Logging In

You can download the ClearCorrect Sync App for Android (via Google Play™) and iOS (via the Apple App Store®) devices.

When logging in for the first time, you will need to read and accept the Terms and Conditions and Privacy Policy. Login to ClearCorrect Sync App using your Doctor Portal, Straumann e-Shop credentials, or biometric recongnition.

To make sure that you have the most updated version of the Sync App, perform the following steps:

  1. Search for ClearCorrect Sync from the search bar in the respective store.
  2. Tap on the ClearCorrect Sync icon and click on Update and wait until the new version is installed.
  3. If after tapping on the ClearCorrect Sync icon you see the Open button, that means the latest version of the App is already installed.

Case Management Workflow

Creating a New Case

To create a new case, perform the following steps:

  1. Tap the Plus (+) icon found in the top-right-hand side of the screen.
  2. Select the type of case, either New Aligner Order or New Retainer Order.

Creating a New Case — New Aligner Order

To create a New Aligner Order, perform the following steps:

  1. Tap New Aligner Order.
  2. Select your Treating Practice from the menu.
  3. Enter the patient's information: the First Name, Last Name, and Date of birth.
  4. Select the patient's gender
  5. Check the box to confirm the patient agreed to the Privacy Notice.
  6. Tap Save

Uploading Patient Pictures

To capture patient photos continuously, select the case, and perform the following steps:

  1.  Tap the Plus (+) icon on the bottom right corner on a photo template to open the camera. If prompted, allow access to the camera. Capture the photo using the shutter button.  Alternatively select Upload a Picture icon to select from your device photo library.
  2. After taking the photo, you can choose one of the following options:
    • Retake: To take the photo again.
    • Edit: To make adjustments.
    • Accept: To save and proceed.
  3. Picture Templates will show on screen for continuous picture capturing. Follow the on-screen guides to ensure the correct profiles.
  4. Tap Skip if you want to return to the template later.
  5. Once all photos are uploaded, you will return to the Case Details page to review them.
  6. To add more photos, tap the Plus (+) icon in the Additional photos section.

You can tailor your photo capture process by setting the layout order that fits your workflow.
Setting and Updating a Primary Photo

There are two ways to set a primary photo for the patient's case:

  1. Tap the photo category and then select Set as primary from the menu.
  2. After capturing a picture, tap the Star icon to set it as the primary photo.

You can update the Patient Primary Photo at any time.
Sync App Duplicate Case Alert

When creating a new aligner case, the system will automatically trigger a Duplicate Case Alert if it detects a case with all of the following:

  1. The same first and last name.
  2. The same date of birth (DOB).
  3. A creation date with in the last 30 days. 

    If there is a duplicate, you are presented with the following options to resolve:

  • Review Existing Case: Will open the previously created case for the user to upload the pictures.
  • Continue: Proceeds with creating a new case despite the alert.
  • Discard: Cancels the current started draft. 
This feature is only available for Aligner Cases within the Sync App
There's a Duplicate Case Alerts for Retainer Cases within the Embedded Retainer Form in Doctor Portal. 
Creating a New Retainer Order for a New Patient

To create a new retainer order for a new patient, perform the following steps:

  1. Tap the Plus (+) icon found in the top-right-hand side of the screen.

  2. Select New Retainer Order.
  3. Select New Patient.
  4. Enter the patient's information.
  5. Select your Treating Practice from the drop-down menu.
  6. Select the arches you are requesting the retainer for, either Upper Arch, Lower Arch, or both.

  7. Add Additional Instructions if needed.
  8. Select the number of retainer sets needed.
  9. Check the box to confirm the patient agreed to the Privacy Notice.
  10. Tap on Save as Draft.
  11. Finalize the Retainer request through Doctor Portal, by uploading the STL files before clicking Submit

Creating a New Retainer Order for an Existing Patient

To create a new retainer order for an existing patient, perform the following steps:

 

  1. Tap the Plus (+) icon found in the top-right-hand side of the screen.

  2. Select New Retainer Order.
  3. Select Existing Patient.
  4. Select the patient from the drop-down menu. 
  5. Select the arches you are requesting the retainer for, either Upper Arch, Lower Arch, or both.

  6. Scan selection:   

    Existing Models

    New Patient Records (Recommended)

     

     

    1. Choose from the treatment setup. 
    2. Select the step from which you want the retainers to be produced.

    Should you want your retainer to be produced from new STL files, follow these steps:

    1. From Doctor Portal, complete steps 1 to 6.
    2. Upload the STL files directly to the case.
    3. From Sync App, select the case draft and click on Submit Order.
    4. Complete steps 7 to 10.

  7. Add Additional Instructions if needed.
  8. Select the number of retainer sets needed.
  9. Tap on Save as Draft or Submit (if all the information and records have been uploaded).
  10. Finalize the Retainer request through Doctor Portal, by uploading the STL files before clicking Submit

Creating a Revision in the Sync App

This option allows you to request the patient's treatment to be re-staged to target the original treatment goal, starting from the current position

Starting from the Case Profile Page, tap on Revise from the Actions drop-down. The system will redirect you to the Photos tab to complete the following steps:

  1. Upload Patient Photos (Optional).
  2. Tap on Case Details tab. 
  3. Tap on Submit Revision Order hyperlink.

  4. The Doctor Portal Embedded Revision Form will open.

  5. Complete the Revision Form:

    • Upload the required 3D models*.

    • Specify the desired Clinical Features.
    • Provide any specific Instructions.
    • Tap Discard, Save as Draft, or Submit to complete the process.

STL files should be uploaded from Doctor Portal or directly from the IOS through the direct integrations with Straumann SIRIOS™ or 3Shape TRIOS™. If you started the case from the Doctor Portal or your IOS, you can skip steps 1 and 2, and directly tap the Submit Revision Order hyperlink from the Case Details tab. Revision is only available for applicable cases.

Case Details Page

Case Details Page

The Case Details Page within the App provides comprehensive information, including:

Case details:

  • Treatment (arches treated)
  • ClearPilot® Version and  Access
  • Case Status
  • Case Type
  • Case Start Date
  • Case Expiry date
  • Delivery Status
  • Estimated Delivery Date
  • Tracking Number
  • Shipping Address

Photos:

  • Upload Patient Photos

Notes: 

  • Add, remove, or edit patient notes.
  • Notes sync automatically with your Doctor Portal for easy case management.

Downloading Photos

To export and save patient photos to your device's file storage from the Case Details Page, perform the following steps:

  1. Once you've captured all pictures with Sync App, scroll down on the Photos Tab in the Case Details Page and tap Download Patient Records.
  2. Choose to Download Selected Photos or in Grid Format.
  3. Choose a folder to receive the downloaded pictures.
  4. The selected photos will be downloaded to your chosen folder after you review the data privacy message.

Accessing ClearPilot® from the Sync App

To review a treatment setup in ClearPilot from Sync App:

  1. Open the Case Details Page to access the ClearPilot Treatment Setup.

    This option is available when the case status is Setup Awaiting Review, or after the case has been Approved.
  2. Tap the Preview Setup Version link to open the case in ClearPilot. The ClearPilot mobile version features:

 A.- Patient link sharing

 B.- Arch Menu

 C.- Approve button

 D.- Treatment Timeline and Versions

 E.- Left menu with expanded functionalities

Action Buttons

When you tap the Actions button, you will see the following three options:

  1. Edit
  2. Order Retainer
  3. Revise

Using the Edit Action Button

To use the edit action button, perform the following steps:

  1. Select the patient from the Case Management Page.
  2. Tap the Actions button, then select Edit to update the case details, including the patient’s first name and last name.
  3. Tap Save to keep your edits.

Productivity & Preferences

Features, Customization, and Preferences

Tap on the Menu icon found in the top left-hand corner of the screen to find more resources or to customize your app experience:

  1. How to Use: Learn more about ClearCorrect Sync App from our Support Center.
  2. Contact Us: Find the corresponding customer care contact information for your country.
  3. About Us: Access to our Terms and Conditions, Privacy Notice, and Patient Informed Consent.
  4. App Feedback: Share with us how we can continue improving our App. Your feedback is sent directly to our Product Management and Software Teams to help enhance your experience with the Sync App. It will not be made publicly visible and is not sent to the Technician or Designer.
  5. Ortho Campus: Conveniently access Educational resources made available to you in Ortho Campus with a single tap from Sync App.
  6. Settings: Change language, select between light or dark mode, adjust your notification preferences, customize the layout order for the pictures, enable or disable biometric login.

Filter and Search Features

There are three different ways to search or filter your cases:

  1. Search Bar: Enter a keyword like the patient's name or case status.
  2. Filter Icon: Tap the Filter icon next to the Search Bar and select a field to display.
  3. Dashboard: Tap the Dashboard icon and select any of the Quick Filters available.

Notifications

There are three ways we can notify you about the status of your cases:

Notification icons are next to the patient’s name. They are categorized as:
